Attendance and Absence Verification for Supervisors

Overview
Monitoring employee attendance is a basic, but important,  responsibility for all management employees (“supervisors”) in Morgan Hill Unified School District. Each supervisor is expected to monitor that their employees have reported to work as scheduled and on time every day, or have reported their absence to their supervisor and entered the absence in Frontline. It is expected that supervisors hold their employees accountable for their attendance. 

Students deserve the services associated with the employees hired to deliver them. When employees are absent, students may miss out on important services, or there may be a  reduction in the quality of services. Additionally, in order to provide a continuity of services, co-workers may have an increased workload when their colleagues are absent.  Regular employee attendance is expected, as well as accurate reporting of absences. 

Timesheet or time card fraud occurs when an employee counts hours in a pay period that they did not work and collects wages for those hours. Falsely claiming attendance is fraud and theft of public funds. Supervisors must reconcile and verify each payroll cycle that their employees’ reported attendance and absences in Frontline are accurate and must hold their employees accountable for accurate attendance and  absence reporting. 

It is the expectation that supervisors maintain a department or site-specific system whereby they are able to account daily for the accurate attendance of their employees. Morgan Hill Unified School District uses Frontline for employees to enter their absences.  Supervisors use this tool, in addition to their department or site-specific daily check in of employees, to daily confirm that the information is accurate about attendance and absences.  Failure to ensure that employees’ attendance and absences are accurately reported daily and reconciled in Frontline may result in disciplinary action.

Employee Absence Reporting Requirement
Employees are expected to report to work on time.  If there is a need to be absent, the employee must enter their own absence into the Frontline absence management system by 9:00 am each day and notify their immediate supervisor of their absence. ALL absences (except 1-2 days of sick leave) also require a Request for Leave of Absence form completed by the employee.It is solely the employee’s responsibility to enter their own absences accurately and timely in Frontline,  submit a leave request in Informed K12,  and cooperate with the leave process. Failure to enter accurate and timely attendance may result in disciplinary action.

Supervisor Daily Attendance Verification and Reconciliation Requirement
Each school site and district department will maintain an employee check in/check out process, typically through the front office. Employees will check in daily by 8:45 am, allowing the supervisor and office support to see at a glance who is absent and verify the information in Frontline. For any employee who did not sign in at their scheduled start time, the supervisor or site secretary will confirm whether the employee is present or absent and follow up accordingly to ensure the employee understands their responsibility for reporting their absence.  The supervisor will reconcile each day’s attendance in Frontline and will communicate by the end of the month any discrepancies to Patricia Valenti via email at  valentip@mhusd.org for correction.  The daily verification and reconciliation process by the supervisor is equivalent to signing a timecard for each employee’s attendance.  The supervisor is verifying that the records for attendance and absences are accurate for payroll.

Reminders: 

  • Frontline is open until 9:00 am each day for an employee  to enter that day’s absence.  After that, an employee or site supervisor can email at  valentip@mhusd.org  for assistance.

  • All employees absences  (except for 1-2 days of sick leave) also require a Request for Leave of Absence  that routes through Informed K12 for supervisor signature and then to Human Resources for approval for the type of leave.

  • If a supervisor suspects that a staff member is abusing their sick leave, misreports their attendance, or has excessive absenteeism, the supervisor should inform Human Resources and begin  a progressive discipline process.
